Each week brings new projects, emails, files, and task lists. How much of that is totally different from the work you’ve done? Odds are, maybe not much. Many of our tasks are variants on something.
Do not reinvent the wheel each time you start something fresh. Use templates–as starting point for new 17, standardized files. Once you save a separate version of the template, just add, remove, or change any info for that unique record, and you’ll have the work.
Programs work everywhere: in word processors, spreadsheets, project management apps, survey programs, and email. Here’s the way to use templates from your favorite programs –and to automatically generate documents from a template–so you can get your ordinary tasks done faster.
Templates take the time to build, and it’s easy to wonder if they are worth the investment. The answer: absolutely. Editing a template takes far less time than formatting something. It’s the difference between retyping it, or copying and pasting some text.
That is not the only benefit: Using a template means you’re less inclined to leave out key information, also. By way of example, if you want to send freelance writers a contributor agreement, changing a standard contract template (rather than composing a new contract each time) ensures you won’t leave out that crucial clause about owning the content once you’ve paid for this.
Templates also guarantee consistency. You send investors or clients regular job updates. With a template, you know the upgrade will have the exact same formatting, design, and general arrangement.
How to Create Great Templates
Not many templates are created equal–and a few things do not need a template. Here are a few tips to follow.
First, templates must be comprehensive. So err on the side of adding also rather than too small, it’s easier to delete information than add it in.
Imagine you’re developing a template of your resume. You would want to list in-depth facts about your responsibilities and accomplishments, and that means you’ll have all the information you want to apply for any job.
You can delete less-important notes on, but you may forget it in the last 25, when it’s not in the template.
Some tools will automatically fill in all these variables for you (more on that in a little ). But if you have to fill in the data by yourself, include some text that’s obvious and easy to look for so you can find.
